Before you pick a WhatsApp HubSpot Chrome extension, ask what stays in HubSpot when you cancel

There is a question I wish more people asked me on a first call, and almost nobody does. They ask what the extension costs, whether it works with their HubSpot plan and whether it will get their number banned. Those are fair questions. But the one that matters most over a few years is quieter: if I cancel this tomorrow, what is left in HubSpot?

I think the answer tells you more about a WhatsApp HubSpot Chrome extension than any demo. Some tools write your conversations into HubSpot as real records. Others show you a nice panel while you have the extension open, and the history lives with them. Both can look identical on day one. They look very different on the day you leave.

A scene from an estate agency

The people here are made up, but the situation is one I hear about often.

Pieter runs a small estate agency in Bloemfontein. Buyers, sellers and tenants all talk to his agents on WhatsApp, because that is where people in this country talk. Two years ago he picked a tool that put WhatsApp next to HubSpot in the browser, and for a while everyone was happy. The agents could see the contact while they chatted, and Pieter could peek at a conversation when a deal went sideways.

Then the price changed and he decided to look around. Before switching, he opened a few contacts in HubSpot without the extension running, just to see what he would be keeping. The timelines were almost empty. A few notes an agent had typed by hand, an email or two, and nothing from the hundreds of WhatsApp chats he had assumed were safely in his CRM.

”I thought it was all in HubSpot,” he told me. “It was just sitting on top of HubSpot.”

That sentence has stayed with me, because it is the whole difference in one line.

Showing is not the same as owning

When I say a tool should log WhatsApp messages in HubSpot, I mean something specific. The conversation should end up on the contact’s timeline as part of HubSpot’s own record, where your reports, your workflows and your next sales manager can find it. It should be there if you open HubSpot on your phone, if you export your data, and if you uninstall every extension you have ever tried.

A sidebar that reads from somewhere else can be genuinely useful while you are chatting. I am not against that. But if the HubSpot WhatsApp conversation history only exists inside one vendor’s product, you do not really have it. You are renting it, and the rent goes up whenever they decide it should.

This matters more for small teams than for big ones. A large company has an IT person who reads contracts and plans exports. A six person agency finds out when they try to leave, which is the worst possible moment to discover that two years of customer conversations were never theirs.

What I decided when building UNOsync

When I started on UNOsync, the easy version would have been to keep the chats in my own database and show them in a pretty panel. It is faster to build and, if I am honest, it is better for a vendor’s retention numbers. People find it hard to leave when leaving means losing their history.

I did not want to build a product that keeps customers by holding their data hostage. So the sync writes what it captures into HubSpot, on the right contact, so the timeline is the record. If someone stops using UNOsync, the chats it already logged stay where they were. They might be annoyed at me for other reasons, but they will not have lost their customers’ words.

It also changed how I think about competition. If the history is in HubSpot either way, then I have to earn the next month by being the better sync, not by making the exit painful. I would rather be in that position. It keeps me honest about the things that actually matter, like matching chats to the right contact and keeping timestamps true.

A two minute test before you choose

Whether you are looking at a Cooby alternative, HubSpot’s own WhatsApp tools or UNOsync, you can check this yourself before you commit.

Let the extension sync a real chat with a real customer. Then close the browser, open HubSpot somewhere the extension is not installed, like the mobile app or a colleague’s laptop, and look at that contact. If the WhatsApp conversation is on the timeline, it is yours. If it only appears when the extension is running, you have learned something important about where your history really lives.

Ask the vendor directly too. What happens to synced chats if I cancel? Can I export them? Are they HubSpot activities or something you display? A good answer is short and plain. A long answer usually means the data is staying with them.

Pieter moved in the end, and the first thing he did was run that test on day one. He told me it was the first time he had felt calm about a tool choice, because whatever happened next, the conversations would stay in HubSpot where his business could find them.
